1. Scope
This Privacy Policy explains how UnionCommand (“UnionCommand,” “we,” “us,” or “our”) collects, uses, shares and protects information when you use the UnionCommand web application, our iOS and Android mobile applications, and any product we offer under the UnionCommand name (together, the “Application”), as well as this website at unioncommand.com.
By using the Application, you acknowledge the practices described in this policy. If you do not agree, please do not use the Application.
2. Our role
UnionCommand provides the Application to labor organizations and similar groups (each a “Customer”), such as a union local. The Customer decides who receives an account, what roles and permissions each user has, and what records are entered into the Application.
3. Information we collect
Account information
Your name, email address, profile photo (if provided by your sign-in provider), assigned role, officer position, and district or station assignments set by your organization’s administrators.
Customer Data
Records that you and other authorized users create or upload, which may include:
- Grievances, member issues, station issues and station visit records, including notes, dates, status and attached documents or photos;
- Leave and duty-status records, such as injury, light-duty or military leave;
- Board motions, votes, payment records and related notes;
- Hall or event rental bookings, including renter names, contact details, event dates, amounts due and staff assignments;
- Member directory information your organization imports or syncs, such as name, contact details, employee or member number, rank and station;
- Comments, updates, and files attached to any of the above.
Information collected automatically
When you use the Application we collect limited technical information, such as device type, operating system and app version, IP address, browser type, log data (for example, access times and errors), and, if you allow it, a push notification token so we can send you alerts.
Communications
If you contact us for support or a demo, we keep the information you send us, such as your name, email address and the content of your message.
We do not collect precise location data, and we do not access your contacts, camera or photo library except when you choose to attach a photo or file.
4. Google user data
The Application lets you sign in with Google and, where your organization enables it, connects to Google Workspace services. When you grant permission, we may access:
- Basic profile information (name, email address and profile picture) to create and authenticate your account; and
- Google Drive, Google Sheets or Google Calendar data, limited to the files, sheets or calendars the Application creates or that you specifically select, so the Application can store and display your organization’s records, attachments and scheduled events.
We use Google user data only to provide and improve the user-facing features of the Application that you or your organization requested. We do not use Google user data to serve advertisements, we do not sell it, and we do not use it to develop, improve or train generalized artificial-intelligence or machine-learning models. People at UnionCommand do not read Google user data unless you give us permission (for example, to resolve a support request), it is necessary for security purposes such as investigating abuse, it is required to comply with law, or the data has been aggregated and anonymized for internal operations.
You can revoke the Application’s access to your Google account at any time from your Google Account’s security settings at myaccount.google.com/permissions.
5. How we use information
- To provide, operate and maintain the Application and its features;
- To authenticate users and enforce the roles and permissions your organization sets;
- To send notifications you or your organization have enabled, such as assignments, deadlines and approvals;
- To respond to support requests and communicate with you about the service;
- To monitor performance, fix bugs, and protect the security and integrity of the Application;
- To comply with legal obligations and enforce our Terms of Service.
We do not sell personal information, and we do not use Customer Data for advertising.
6. How we share information
We share information only as described here:
- Within your organization. Other authorized users in your organization can see information according to the roles and permissions your administrators assign.
- Service providers. We use trusted vendors to host and run the Application — for example, Google Cloud and Google Workspace for hosting and storage, Apple and Google for push notifications and app distribution, and email delivery providers. They may process information only to provide services to us and are bound by confidentiality and data-protection obligations.
- Legal requirements. We may disclose information if we believe in good faith that it is required by law, subpoena or court order. Where permitted, we will notify the affected Customer before disclosing Customer Data so it may seek protection. Because grievance and labor-relations records can be sensitive, we will not voluntarily provide Customer Data to an employer or any other third party.
- Protection. To protect the rights, safety or property of UnionCommand, our users or others, including to prevent fraud or abuse.
- Business transfers. If UnionCommand is involved in a merger, acquisition or sale of assets, information may be transferred as part of that transaction, subject to this policy.
7. Sensitive records
Some records in the Application — such as grievances, injury or leave records, and member concerns — may contain sensitive personal information, including limited health or duty-status information. We restrict access to these records by role, and Customers are responsible for entering only the information reasonably needed for their union business and for limiting access to officers with a legitimate need. Users should avoid entering detailed medical information, Social Security numbers, or financial account numbers into free-text fields.
8. Data retention and deletion
We keep Customer Data for as long as the Customer’s account is active or as the Customer directs. When a Customer ends its subscription, we will delete or return its Customer Data within a reasonable period, generally within 90 days, unless a longer period is required by law. Backups are overwritten on a rolling schedule.
Deleting your account
You may request deletion of your user account at any time by using the account deletion option in the Application (where available) or by emailing privacy@unioncommand.com from the email address associated with your account. We will delete your account and associated personal information within 30 days, except that records your organization is entitled or required to keep — for example, a grievance file that names you — may be retained by your organization. Your union may also remove your account directly.
9. Security
We use administrative, technical and physical safeguards designed to protect information, including encryption of data in transit using TLS, encryption at rest provided by our cloud hosting provider, role-based access controls, and sign-in through your organization’s identity provider. No system is perfectly secure, however, and we cannot guarantee absolute security. If we learn of a security incident affecting your information, we will notify affected Customers and users as required by law.
10. Your choices and rights
Depending on where you live, you may have the right to request access to, correction of, or deletion of your personal information, or to object to certain processing. Because most information in the Application is controlled by your union, we may refer your request to your organization’s administrators and assist them in responding. To make a request, contact your union or email privacy@unioncommand.com. We will not discriminate against you for exercising your rights.
You can turn off push notifications at any time in your device settings.
11. Mobile applications
Our iOS and Android apps collect the same categories of information described above. The apps do not include third-party advertising or cross-app tracking. Information stored on your device by the app, such as cached records for offline viewing, is removed when you sign out or uninstall the app.
12. Cookies and similar technologies
The Application uses strictly necessary cookies and local storage to keep you signed in and remember your preferences. We do not use advertising cookies. This public website does not use tracking or analytics cookies.
13. Children
The Application is intended for adults acting on behalf of their organizations and is not directed to children. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact us and we will delete it.
14. Where we process data
UnionCommand is based in the United States, and we store and process information in the United States.
15. Changes to this policy
We may update this policy from time to time. When we make material changes, we will update the “Last updated” date above and notify Customers or users through the Application or by email before the changes take effect.
